Workflow & Business Process Automation (n8n)

AI Workflow Automation for Small Business

We build AI automation for small businesses in n8n, a workflow tool that connects the apps you already use and runs the repetitive steps between them, on a schedule or whenever something new comes in. Data moves between your apps without retyping, new records trigger alerts, and AI such as Claude reads documents and pulls out the details.

Who is business process automation for?

Business process automation is for small and mid-sized businesses where people spend hours retyping information between apps or checking the same sources by hand. Process automation for small business works best when the same steps repeat every day or every week.

  • Teams typing the same customer or job details into two or three different apps
  • Owners who check a website or public record by hand, looking for something new
  • Offices that pull details out of PDFs and reports and type them into a spreadsheet
  • Teams that want AI to do the reading and sorting while a person keeps the final say

If a task is different every time and needs a person's judgment at each step, it may not be worth automating yet, and we'll tell you so.

What does our n8n automation service include?

You get a working automation built around the way your business already runs. As your n8n consultant, we map the process, design and deploy the workflow, connect it to the apps you already use and add AI steps where they save real time.

  • n8n workflow design and deployment, from a map of your current process to a live workflow
  • Connections between apps that don't talk to each other, so nobody retypes the same data
  • Data pipelines that collect, filter and de-duplicate information, then deliver it where your team works
  • Alerts when something new appears in a public source, such as a county court filing that matches what you're watching for
  • AI steps where they help, such as Claude reading a PDF and pulling out the details
  • Help choosing between n8n Cloud and self-hosting on your own server

How does workflow automation for small business work?

Workflow automation with LegacyAI Solutions works in four steps: Discover, Design, Build and Deploy, with you in the loop the whole way. It starts with a free 20-minute call and a clear map of how the process runs today.

  1. Discover

After a free 20-minute consult, a scoping conversation maps the process step by step: which apps are involved, where people retype data and where the time goes.

  2. Design

We plan the workflow, decide where AI helps and where a person should stay in charge, and send a written proposal with a fixed price or a range.

  3. Build

We ship a first version fast, then improve it, with weekly or biweekly progress updates so you always know where things stand.

  4. Deploy

The workflow goes live, running on a schedule or whenever something new comes in, and delivers results where your team already works. Ongoing support is available as a monthly plan.

What tools do we use to automate workflows?

We build workflows in n8n and connect them to the apps you already use, bringing in tools like Browse.ai or Claude when a step calls for them.

  • n8n, a visual workflow automation tool that runs in the cloud or on your own server
  • APIs, the standard connections apps use to pass information to each other
  • PostgreSQL, a database for storing results
  • Browse.ai, a tool that watches websites for new information
  • Google Sheets and Gmail, for delivering results where your team already works
  • Claude, Anthropic's AI model, for reading documents and pulling out details

What business processes can be automated?

Almost any process with repeatable steps and clear rules can be automated: moving data between apps, checking a source for new records, turning documents into data, or booking work straight into the software you already run. When a step needs judgment, AI can do the reading and sorting while a person makes the final call.

The first three come from our portfolio. The fourth is a common type of alert workflow we build.

  • Nightly speed-to-lead: for a real estate investment company, an n8n workflow pulls new foreclosure filings from public county court records every night, filters and de-duplicates them, has Claude read the filing PDFs and delivers outreach-ready leads to a Google Sheet with a morning summary.
  • Booking straight into field-service software: a website for a local home-services business whose booking page checks real availability, then creates the job, the visit and the invoice directly in the owner's Jobber account. It's tested end to end and in final launch prep.
  • Document to data: a tool that uses Claude to turn property-data report PDFs into structured fields for a real estate pricing analysis, with standard intake and report templates.
  • New-match alerts: an automation can watch a public data source, such as county court filings, and email you when a new match appears, using Browse.ai, Google Sheets and n8n.

n8n vs Zapier vs Make: which should you use?

The biggest difference is where your automations run. n8n can be self-hosted on your own server or used as n8n Cloud, while Zapier and Make are cloud-only services. That makes n8n the stronger fit when you want workflow data kept in-house or need custom steps.

We design and deploy workflows in n8n. If you already pay for Zapier or Make, we'll review those automations with you and help you decide what's worth moving from Zapier to n8n and what's fine where it is.

Workflow automation and n8n questions

What is n8n?

n8n is a workflow automation tool that connects your apps and runs multi-step tasks for you, on a schedule or whenever something happens, like a new form entry. You build each workflow as a chain of visual steps. It can run in n8n's cloud on a paid plan or be self-hosted on your own server, and we design and deploy n8n workflows for businesses.

Is n8n better than Zapier?

n8n is better when you want more control. It can be self-hosted, so your workflow data can stay on your own server, and it leaves room for custom steps, including AI steps such as Claude. Zapier is cloud-only, which suits teams that are happy to let Zapier host everything. We build in n8n, and we'll give you a straight answer on which one fits your process.

Is n8n free, and what does it cost to run?

Either way you run it, n8n has a running cost. n8n Cloud, the version n8n hosts for you, is sold as paid plans, and self-hosting means paying for the server it runs on. Hosting costs are passed through to you, and we'll help you weigh cloud against self-hosting. Building the workflows is quoted separately, in a written proposal with a fixed price or a range.

Is n8n safe, and can it be self-hosted?

n8n can be self-hosted, which means it runs on a server you control instead of n8n's cloud, so your workflow data stays with you. Safety then comes down to setup: who can log in, how the logins to your other apps are stored and what each step sends out. A step that calls an AI service, such as Claude's API, still sends that data to the provider. Anthropic says API data isn't used to train its models by default.

Does n8n work with Claude?

Yes. An n8n workflow can send a task to Claude through Claude's API, the connection other software uses to talk to Claude, and use the answer in its next step. Our nightly speed-to-lead pipeline works this way: the workflow pulls new court filings, Claude reads each filing PDF and pulls out the property details, and the leads land in a Google Sheet by morning.

What's the difference between workflow automation and AI automation?

Workflow automation follows fixed rules to move information between apps, like copying a new booking into your calendar. AI automation adds steps that need reading or judgment, such as pulling details out of a PDF or sorting incoming requests, handled by a model like Claude. The two work well together: rules handle the predictable steps, AI handles the reading, and a person makes the final call where it matters.

How much does workflow automation cost?

We don't publish prices, because every process is different. After a free 20-minute consult and a scoping conversation, you get a written proposal with a fixed price or a range, based mostly on how many apps and steps are involved. Payments follow milestones, starting with a deposit, and scope changes need a written change order, so there's never a surprise invoice. Hosting costs are passed through to you.

Get a written proposal for your process

How long does it take to automate a process?

It depends on how many apps and steps are involved, and you'll have a clearer picture after the scoping conversation. The approach stays the same: we start small, with one or two workflows, ship a first version fast and improve it from there. Weekly or biweekly progress updates mean you always know where things stand and what's next.
